Tips for the Reporting Period – For Administrators

About to open your next follow-up period? Here we’ve gathered our top tips to help you as an administrator make the process easier.

As an administrator in Stratsys, there are several tasks you need to complete before each reporting period to ensure everything is ready for users to start their follow-up work.

This checklist is here to help you remember what needs to be done! The included links point to our new manual, currently under development.

  • Start early!
  • Copy the previous follow-up report to create a report for the correct period. Read how to do this here.

  • Review the structure and content of the report. You might need to disable/enable headings or update instructions. Learn more here.

  • Review the instructions for the governance model columns to be followed up. This is done under “Comment Settings” in the administration section. You can also update help texts in the views. Scroll down here for tips on how to write these. Review the instructions for the reports being activated—they are edited in the common template for each report and its headings.

  • Check that the communication area is updated to provide the right support for users. Read how to do it here.

  • Do you have new units this year? Make sure they have the correct reports assigned and are added to the right unit groups.

  • Plan how to support users during the reporting period. Here are some ideas:
    • Writing Workshops: Schedule a few hours on different days where administrators are available to assist users. If you’re in the office, host them on-site as open sessions. You can combine this with basic training on features that users may find challenging. You can read more about tips on writing workshops. [LINK]
    • Record a short video summarizing users’ key tasks during the reporting period. Most Windows and Mac computers come with preinstalled recording tools.

Tips for Writing Help Texts and Instructions

When users log in, they usually have an idea of what they need to do. Help texts and instructions can assist them if they get stuck. We recommend that help texts in views describe how the user should proceed. Instructions in the reporting window should focus more on supporting the process and what the user is expected to write. Base the content on questions you've received previously. Use images and videos where possible.
