User guidance with Dynamic workflows

We are now launching the first part of a brand new feature area - Dynamic workflows - which aims to provide clearer user guidance in the different processes and products of the platform and make it easier to overview progress.

First up are workflows for enhanced risk management, and after the holidays, we will release 'draft' as a new platform state for easier planning and collaboration. 

Strengthened risk mitigation

We've made it easier to ensure that your risks that need to be managed are actually addressed. By defining workflow rules, you can more easily ensure both risk mitigation and clearer guidance in the risk management process.

  • Triggers are adapted to the risks to be managed
  • When the risk should be managed, the user is guided to create control activities or actions both in object window and workspace
  • The development aims to support a more linear way of working and increase confidence that things get done

Getting started: Setting up workflows is done in the administration for workflows. Requires full administrator privileges.

Easier planning and increased collaboration with "drafts"

The "draft" feature will be released after the holidays.

By saving an object as a draft, users can collaborate with selected people around an object and choose when, for example, a risk or activity is ready to be shared with the rest of the organization. In this way, you get a clearer workflow, lower the threshold for entering data into the platform's various products while strengthening the opportunities for collaboration.

  • Clearer flow and lowered threshold - Save ideas or not yet decided information as drafts

  • Increased collaboration - Share your draft with selected colleagues and finalize the objects together

  • Efficient search - easily filter all your drafts to edit or turn them into active objects



Get started: The feature to save objects as drafts will be released after the holidays and will not require any activation. All users who have the right to create and edit objects will be able to save objects as drafts in all products.

Descriptions - easier to work across the organization

The feature will be released on June 15.

We're introducing a new type of description field that makes it easier to manage and customize information across your organization.

Previously, description fields could be configured in two ways: either with the same information for all departments where, for example, an objective or a process occurs, or with unique information per department. To meet the needs of larger organizations, a third option is now available - "Distributed information that can be customized per department".

With this new setting, information is automatically distributed to all levels where the objective or process exists. At the same time, an intermediate level can customize the information according to its needs and pass the change on to sub-departments. The information at higher department levels is not affected.

  • Makes it easier to distribute and manage information throughout the whole organization
  • Allows businesses to customize information locally while staying connected to the overall governance
  • Reduces the need for further break-down and additional scorecard model columns to handle different needs of information

Activation: The feature is activated by selecting the "Distributed information that can be customized per department" type in the description field administration. The setting can be used for all types of distributed objects (both consolidated and visible).

 

New workspace and object drawer

Share and link risks, objectives or activities

It is now possible to link and share objects such as risks, objectives and activities. Using a unique link, you can quickly navigate directly to a specific object while making it easier to collaborate both inside and outside the platform.

  • Quick access to the right information through direct links to specific objects
  • Easier collaboration by sharing items with relevant users
  • Quick button to copy link in the object drawer

Get started: The feature is available directly in the object drawer via a new copy link button. Sharing and access follow existing permission management. Please note that linking is currently only supported from workspaces and not from dashboards or reports.

Object drawer - remove from current department

Note! This feature is mainly used for reorganization and major changes purposes in the product. Only visible to full administrators.

Now it's possible to remove distributed objects from its current department directly in the object drawer. The feature has been moved from the former classic edit window and is now accessible via the ellipsis menu menu at the top right in the object drawer, gathering more administrative actions in one place.

  • The link on the device is removed and the ownership of the object moves down the organization tree
  • Clearer management of object links by allowing deletion only on the main department of the object

Activation: The feature is available to users with Full Administrator permission. To use the feature, the object needs to be distributed and belong to the administrative department (main department). The feature is accessed via the object's ellipsis menu where the option Remove from current department is displayed.

Object drawer - the transition to new UI's is completed

The transition to the new object drawer is now complete. During the spring, we have continuously informed about the phasing out of the classic edit window which is now completely removed.

This means that the classic edit window can no longer be accessed via the ellipsis menu in the new object drawer. All users now work in the same modern interface to create, update and manage information in the platform.

The transition marks an important step in the evolution of the platform. Going forward, we will continue to invest in the new object drawer with the aim of creating an even smoother and more coherent user experience for all users.

Workspace - minor improvements

Improved visibility of add button

After feedback, we have now made the add object indication clearer with both a clearer shape and a stronger color that follows the rest of the design pattern.

Table mode - Improved highlight and hover when clicking on object data

To further enhance the workspace experience, we have now improved the highlight and hover  with a clearer blue frame for both object content and the whole object itself.

Filter - easier to see which columns that have been filtered on

We have now improved filters by enabling you to see which column you have filtered on. Previously, it was not possible to see directly in the filter which column for example a keyword applied to. Regardless of which content you filter on, you can now see the specific column that the filter belongs to.

 

Forms

This development is included in product license.

Forms - additional color options for checklists

We've added additional color options in Forms, providing greater flexibility when configuring checklists and making it easier to adapt their appearance to different needs and ways of working.

  • More possibilities to customize the appearance of checklists
  • Easier to create a visual structure that fits your business
  • Increased flexibility when configuring forms and checklists

Activation: The new color options are available to Forms administrators when setting up checklists.

Forms - secure the right basis with checklist rules

Checklist questions can now be rule-driven in Forms. By requiring certain information based on the answer chosen by the reporter, it is easier to ensure that the checklist contains the documentation - such as a supplementary comment, appendix, risk or action - needed to make decisions and handle deviations.

  • Increases the quality of collected data by ensuring that important information is not missed
  • Adapts comment, attachment, risk and action requirements to the situation at hand
  • Reduces the need for follow-up and additions afterwards

Activation: Rule-based checklists, including the information to be requested, are configured per checklist question by a Forms administrator.

Due Diligence

This development is included in the Due Diligence product license.

Suppliers - reducing the risk of duplication

It is now easier to ensure correct supplier data. When registering or importing suppliers, organization numbers are now validated more intelligently, and the system draws attention when a supplier with the same organization number is already registered.

  • Reduces the risk of registering the same supplier multiple times
  • Improves the quality and reliability of the supplier register
  • Provides better control in both manual registration and import of supplier data
